Responsibilities:

  • This position will entail direct customer contact to provide support for any questions they may have.
  • Responsible for the day to day management of the Mail Services Workflow and customer as well as employee support.
  • Supervisory responsibility for multiple employees at assigned site.
  • Coach and counsel associates when appropriate.
  • Regularly confer with the national account manager to identify projects which require assistance.
  • Provide administrative support to the national account manager preparing various forms, logs, reports, and employee-related paperwork.
  • Recommend suggestions for improving mail operation efficiency and cost savings across the account.
  • Oversee all operations within the Mail Center (receive, review, receipt, document, process, prepare, identify,
    separate, deliver, transport, etc.).
  • Monitor and ensure all Cyber Security Processes and Procedures are followed my Mail Personnel.
  • Ensure timely collection of outgoing mail is completed by staff.
  • Ensure outbound courier shipments are processed and shipped using computer or service provider's equipment.
  • Track and maintain mailing records and logs. Perform accurate data entry as needed. Responsible for inventory control of mail and shipments supplies.
  • Ensure physical distribution of mail, courier packages to various departments are completed in a timely manner.
  • Ensure supplies are ordered and delivered to designated location(s), as needed.
  • Responsible for the creation and submission of monthly postage reports and monthly billing reports.
  • Track PO Box payment dates to ensure timely payment to the Post Office.
  • Esnure notifications to National Account Manager and customer are made in a timely manner.
  • Ensure all employee training (new hire, monthly, cross training, site required) is performed and at
    Standard
  • Respond to client issues and ensure appropriate escalation processes are followed by
    communicating critical issues to National Account Manager without delay.
  • Familiarity with mail and shipping & receiving software systems.
  • Enter activity data in logs, maintain records.
  • Assist with special events for various departments.
  • Collect data for reports and prepare monthly reports.
  • Maintains records and files.
  • Maintain, review and update site Operations Manuals and Business Continuity Plans.
  • Interface with the client contact daily and attend meetings as required.
  • Other duties as requested by the client

Qualifications:

  • High school diploma or equivalent, Associate degree preferred.
  • Minimum of 5+ years Mail services-related experience with knowledge of commonly used Office Services
    procedures.
  • Minimum of 3+ years supervisory experience in an office services environment
  • Minimum 3+ years' experience with Microsoft Office Software (Word, Excel).
  • Consistently demonstrates professional demeanor, appearance and attitude
  • Knowledge of using UPS, FedEx, and DHL shipping methods.
  • Excellent customer service skills; must possess a "can do" attitude.
  • Excellent communication skills both verbal and written.
  • Ability to effectively work individually or in a team environment.
  • Competency in performing multiple functional tasks.
  • Attention to detail.
